I started running my raw notes through an AI assistant with a few structured prompts. It doesn't attend the meeting for you — but it turns the mess into decisions, owners, and deadlines in about a minute. Here are the five prompts I actually use.

"Clean up these raw meeting notes. Fix spelling, group related points under headings, remove small talk. Keep every fact and number exactly as written: [paste notes]"

Boring, essential. Everything else works better on clean input.

"From these notes, list only the decisions that were made — not discussed, not suggested. Format: Decision | Who owns it | Deadline (write 'not stated' if missing)."

The "not stated" instruction is the trick. Without it, models cheerfully invent deadlines.

"Extract every action item from these notes. For each: task, owner, deadline. If no owner is named, mark it UNASSIGNED instead of guessing."

That UNASSIGNED list is gold. It's where projects quietly die, and now you can see it.

"Write a follow-up email from these notes: 2-line summary, decisions as bullets, action items with owners and dates. Professional, under 200 words, ready to send after a quick review."

Send it the same day. Half of meeting value is the written record landing while people still remember agreeing.

"Based on these notes, draft the agenda for the next meeting: open items, blockers mentioned, decisions that need revisiting. Max 6 items."

Your next meeting starts where the last one ended, instead of recapping it.

Strip the sensitive stuff first — client names, pricing, personal details — unless your tool and plan are approved for work data. I anonymise by default ("Client A", "Project X"). The prompts work exactly the same.

I use these for client calls and project meetings as a freelancer, and I keep the full set — including prompts for standups and one-to-ones — in the complete guide here: https://learnpromptwithai.com/ai-prompts-meeting-notes-action-plans/

If your notes are sitting in a doc right now, prompt #2 alone is worth the minute it takes.
